Import Manager (Full Time)

Key Responsibilities
• Import Operations & Logistics:
- o Oversee end-to-end vehicle import process from Japan to the UK.
- o Liaise with Japanese suppliers, auction houses, and shipping agents to arrange vehicle procurement and transportation.
- o Track and manage shipping schedules, vessel arrivals, and customs clearance status.
- o Coordinate with freight forwarders and HMRC for timely and compliant customs processing.
- o Manage UK port operations including vehicle collection, unloading, and delivery to storage/prep sites.
• Compliance & Documentation:
- o Ensure full compliance with UK import regulations, including HMRC, DVLA, VCA, and customs duty requirements.
- o Prepare and manage import documentation including invoices, Bills of Lading, export certificates (e.g., Japanese deregistration certificates), NOVA declarations, and customs clearance paperwork.
- o Maintain accurate records of import files for audit and regulatory purposes.
• Vehicle Registration & Preparation:
- o Oversee vehicle registration processes with DVLA including Individual Vehicle Approval (IVA) or Mutual Recognition processes, where applicable.
- o Coordinate pre-delivery inspections (PDI), MOTs, servicing, and any required modifications for UK compliance.
- o Ensure vehicles meet UK roadworthiness and environmental standards before handover to customers.
• Supplier & Inventory Coordination:
- o Build and maintain strong relationships with Japanese vehicle exporters, auction houses, and logistics providers.
- o Monitor stock levels and assist with planning procurement to meet sales targets.
- o Support pricing strategies by understanding import costs, taxes, duties, and market conditions.
• Team Collaboration & Management:
- o Work closely with sales, finance, and aftersales departments to ensure accurate vehicle status, timelines, and handover readiness.
- o Supervise and guide logistics or administrative staff involved in the import process.
- o Report regularly to senior management on vehicle flow, delays, and opportunities for process improvements.
Key Requirements
- • Prior experience in vehicle import/export or automotive logistics and vehicle sales, ideally involving Japanese imports.
- • Excellent organisational and problem-solving skills.
- • Proficiency in handling import documentation and shipping coordination
- • Strong communication skills, both verbal and written.
- • Understanding of the UK automotive retail market and consumer expectations
- • Familiarity with NOVA (Notification of Vehicle Arrivals) systems and VAT implications.
